Job Description

HR Operations Assistant Location Hoboken, NJ : The HR Operations Assistant will be responsible for providing a full range of support to the office and the on-campus student employment process. Candidates for this position must be a problem-solver that is professional, independent, tech savvy, confident, proactive and exercises the utmost discretion. This is a part-time position. Essential Duties and Responsibilities:
  • Provide administrative office support for the student employment office and respond to student inquiries via email, phone or in-person in the office.
  • Work closely with the Manager - HR Operations and Student Employment and student workers to ensure daily office operations are smooth, effective, and efficient.
  • Oversee transaction processing in Workday for the student employment processes, including requisitions and job postings, hiring actions, payroll procedures and onboarding.
  • Maintain student employment records - Payroll Notices, I-9 Forms, E-Verify, and Foreign National Information Forms.
  • Coordinate any necessary remedies needed for the office with the HR Program Manager
  • Collaborate with other academic and administrative units on relevant matters and external constituents as needed.
  • Ability to recruit or communicate with the campus all available FWS positions.
  • Collaborate with departments to train and guide on the process of WD on how to process add jobs, and requisitions, new hires, change jobs, etc.
  • Creating profiles for All Student workers using Workday
  • Identify data sources, collect and analyze large data for insights into student employee engagement and performance.
  • Develop and maintain the Workday HCM system to streamline HR Student operations and provide intuitive interfaces for managing employee data.
  • Redeveloping Student Employment website to include dashboards of current information and reports for Student Employment operations to monitor key workforce metrics.
  • Qualifications:
    • Bachelor's degree preferred.
    • Minimum of 2 years of relevant experience, preferably in higher education or other industry experience
    • Expertise in Microsoft Office - Outlook, Excel, Word, and PowerPoint and other document management tools including Google Drive, OneDrive and other solutions.
    • Strong computer proficiency and the ability to quickly learn and assimilate new systems and information.
    • Must be able to work in a fast-paced environment with demonstrated ability to handle multiple competing tasks and demands.
    • Ability to be both highly efficient and effective. Must be resourceful yet know when to ask questions and for help.
    • Ability to maintain and project a professional image at all times with exemplary poise and diplomacy.
    • Strong understanding and knowledge of HR operations functions like payroll, onboarding, and employee records management.
    • Knowledge of employment laws and ethical guidelines related to employee analytics.
    • Maintain utmost confidentiality and discretion in all things, handling confidential and non-routine information with tact
    • Strong customer service orientation
    • Excellent communication skills, with the ability to communicate well with both internal and external constituents at all levels.
    • Excellent attention to detail and exceptional follow-up and follow-through skills
    • Ability to plan, organize and coordinate large and small projects through to completion.
    • Proven ability to work independently and as part of a team. Ability to accept direction on assignments and work with minimum supervision, building support from colleagues where applicable.
    • Availability to work a flexible schedule, including occasional evenings and/or weekends to meet demands of the position.
