Since 1994, SPORTIME has been proud to operate the finest tennis and sports facilities in New York State. SPORTIME has 17 facility locations, most recently adding the iconic Port Washington Tennis Academy, now SPORTIME Port Washington, the largest indoor racket sports facility on Long Island. SPORTIME currently offers 194 indoor and outdoor tennis courts and 70 pickleball courts, as well as rinks, turf, camps, gyms and more, at sites across Long Island, in NYC, in Westchester in th,e NY Capital Region and New Jersey. SPORTIME clubs are state-of-the-art, yet affordable, and feature the best tennis, sports and fitness facilities and programs, including the John McEnroe Tennis Academy and SPORTIME Volleyball Club). SPORTIME clubs serve individuals of every age and athletic ability, 365 days a year.

JOB SUMMARY: 
Responsible for implementing and following Sportime systems and procedures assuring the highest level of customer service, maintenance of member management and accounts receivables. This includes the administration of Point of Sale, Scheduler and the daily reconciliation of all sales and payments in a timely and efficient manner. Coordinate with all other department heads to ensure the highest level of synergy between staff and departments.

RESPONSIBILITIES:
• Supervise and train (includes running front desk meetings) the front desk and ensure that they are delivering the highest level of customer service. This requires filling in for front desk staff for short periods of time throughout your daily shift to cover breaks and training.
• Daily revenue audit: Check all daily receipt summaries, credit card batch reports, payment and transaction summaries. Make corrections as necessary and post AR to the General Ledger. Ensure accuracy of prior day appointments by running invoices check report.
• Promote and sell all aspects of the club as needed. (i.e. membership sales, program sales, camp sales).
• Review membership agreements for accuracy and enter all new memberships and all pertinent sales information in Aptus.
• Handle membership changes, such as, address changes, cancellations, credit card expirations, etc.
• Handle all member needs and account inquiries.
• End of month processing and billing reports completed by end of each month.
• Assist in the inputting of all program and camp sales.
• Assist in providing courtesy calls and follow through with delinquent accounts as per instructions from the central accounts payables department.
• Provide all database reports as required by the GM.
• Create, edit and send open moves marketing email blasts.
• Update website and club voicemail to ensure club information is accurate. (i.e. inclement weather information, delayed openings, club closures and special events).
• Help to ensure scheduler accuracy and work with other managers, tennis director, fitness director, camp director, multi-sport director and league coordinator to ensure accuracy.
• General administrative duties include filing, faxing, copying, collating, distributing, mailing.
• Assist in assimilating and processing new hires

• Review and send new employee information to home office
• Keep employee files accurate and up to date
• Enter new hire information onto Aptus and keep database current

• Assist with Staff Paperwork Processing.

• Follow up on ninety-day reviews
• Follow up on activity
• Follow up on termination reports
• Follow up on eligibility of vacation

• Process Accounts Payable.

• Review all Invoices
• Code all Invoices to their proper General Ledger Expense for payment
• Prepare check requisition forms that need to be submitted by GM

• Budgets: Assist GM in preparing monthly budget reforecasts and reports.
• Create signage needed to inform members of new situations.
• Attend staff meetings as requested.
• Complete any special tasks or projects requested by General Manager.
• Serve as Manager on Duty and perform all tasks as requested by General Manager.

KNOWLEDGE, SKILLS & ABILITIES:
• 1+ years’ experience managing one or more departments
• Judgment and decision making – consider relative costs and benefits of potential programs (ideas, actions) to choose the most appropriate one.
• Strong interpersonal communication skills, including coaching, giving clear and direct feedback and mentoring for continuous improvement.
• Ability to tell when something is wrong or likely to go wrong and the ability to apply general principles and rules to solve problems
• Ability to sit and stand for long periods of time
• Ability to maintain confidentiality
• Ability to communicate information and ideas verbally and in writing so that others will understand
• Ability to maintain a professional composure with employees, members and vendors in difficult situations
• Ability to create and maintain a positive work environment for all employees
• Ability to interface with multiple levels of leadership

SCHEDULE: Full-time

SALARY: $70,000 - $80,000 per year

Health, dental and vision insurance - Full-Time employees are eligible to enroll in Sportime’s group health, dental and vision insurance plans on the first day of the month after they have worked 60 days. Premiums are deducted pre-tax from employees’ gross pay; Sportime contributes to the premiums of employees based upon gross pay thresholds.

401k Plan with employer match – Employees are eligible to enroll in Sportime’s 401k retirement plan, with matching, after they have completed one year of continuous service, worked at least 1000 hours in such calendar or anniversary year, and are over 21 years old (matching restrictions apply based on annual salary).
