Job Description

iTrust Wellness is hiring a Business Office Coordinator to join our growing, multi-site mental health practice. This role is essential in supporting the financial and administrative functions that help our practice run efficiently and with integrity. Core responsibilities include managing business office tasks such as mail processing, inventory and supply ordering, accounts payable, recordkeeping, and assisting with bookkeeping in collaboration with our accounting team.

Position Specifics:
Location: West Greenville Office (125 Commons Way, Greenville, SC 29611)
Schedule: Monday-Thursday, 7:30AM-4:30 PM; Friday, 7:30AM-12:00PM 
Responsibilities:
  • Receive and sort incoming business mail; route to appropriate recipients
  • Manage inventory and ordering of clinical and office supplies across locations
  • Maintain organized digital and physical records of business documents, including contracts, invoices, and payment confirmations
  • Process and track accounts payable to ensure timely and accurate vendor payments
  • Assist in reconciling payments and expenses across internal systems
  • Collaborate with the accounting team to ensure accuracy in QuickBooks and support monthly financial reviews
  • Support ongoing operational and financial process improvements
Professional Qualifications:
  • Prior experience in a healthcare office, finance department, or administrative support role preferred
  • Proven experience with financial transactions, recordkeeping, and reconciliation processes.
  • Proficiency in QuickBooks or similar accounting software required
  • Solid knowledge of Microsoft Excel and other office software
  • Strong analytical and problem-solving skills.
  • High level of accuracy and attention to detail in all financial and recordkeeping tasks.
  • Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively.

Compensation Package:
  • Salary - $45,000 - 55,000 / year
  • Paid Time Off (PTO)– 10 days (80 hours) plus one (1) day for each year of employment at iTrust for a possible maximum of 15 days (120 hours).
  • Paid Company Holidays – 5 days (Memorial Day, Independence Day, Labor Day, Thanksgiving Day, Friday after Thanksgiving) 
  • Paid End-of-Year Break (Dec. 24-Jan. 1)– office-wide closure for the holidays to rest and recuperate.
